BODYCORP BEACON

Terms of Service

Last Updated: 6 October 2026

These Terms of Service ("Terms") govern access to BodyCorp Beacon, a community management software service operated by Reign IT Solutions (Pty) Ltd ("Reign", "we", "us" or "our"). The application, related website and support services together form the "Service". These Terms apply to Residents, Trustees, Building Managers and Admin users.

Please read these Terms before accepting them or using the Service. If you do not agree, do not create an account or continue using the Service. Mandatory rights under applicable law remain protected.

2. The Service and community responsibilities

BodyCorp Beacon provides user accounts with role-based access, incident reporting, announcements, photo and document uploads, and an emergency services directory. Available access depends on your role, the community you belong to and the features made available to it.

Your body corporate, homeowners association or other organisation managing your community is the "Community Organisation". It is responsible for its community administration, instructions, decisions, records and authorised appointments. Reign provides the software and does not become a trustee, managing agent, security company or emergency responder through providing it.

The Service supports community administration. It does not replace statutory processes, scheme rules, formal notices, meeting procedures or professional advice. A posted announcement or report is not automatically a valid legal notice, resolution, complaint filing or proof that its intended recipient has read it. Use any separately required delivery or escalation process.

3. Eligibility and acceptance

You must be at least 18 years old and legally able to agree to these Terms. You must provide accurate registration information and have authority to access the community and role assigned to you. If you accept an agreement for a Community Organisation, you confirm that you are authorised to bind it. An individual Resident's acceptance does not by itself bind the Community Organisation.

An applicable signed service agreement or order form may set additional terms for a Community Organisation's subscription. It takes precedence over these Terms only for the matters it expressly addresses and only between its parties. It cannot remove an individual's mandatory statutory rights. A data processing agreement governs processing on a Community Organisation's behalf where applicable. The Privacy Policy explains our information practices and is not blanket consent to processing.

4. Accounts roles and security

Keep your login details confidential, use your own authorised account and promptly report suspected compromise. You are responsible for your own use of the Service and for taking reasonable steps to prevent unauthorised use. Tell your Community Organisation when you move, leave a role or otherwise cease to be entitled to access.

Residents may use the features made available to them. Trustees and Building Managers must use their additional access only for authorised community duties. Admin users must manage access and records within their assigned authority. A role label in the app does not independently confer legal authority to act for a community.

Community Organisations must verify invitations and appointments, grant proportionate permissions and promptly revoke unnecessary access. You must not bypass permissions, access another community's records or share an account to give another person access they would not otherwise have.

5. Acceptable use

Use the Service lawfully and with respect for other people. You must not submit content that unlawfully infringes privacy, confidentiality or intellectual property rights, or use the Service to threaten, harass, discriminate unlawfully, impersonate another person or knowingly make a false report.

Do not upload malicious software, attempt unauthorised access, interfere with the Service, evade security measures, scrape personal information or distribute unsolicited promotional messages. Do not test security in a way that could expose records or disrupt service without prior written authorisation. Report suspected vulnerabilities privately to our support contact.

Do not use community contact details, photos or documents for unrelated personal or commercial purposes. A user's ability to view or download a record does not remove legal restrictions on copying, sharing or retaining it.

6. Your content and upload permissions

"User Content" means information you submit through the Service, including incident reports, announcements, photos, PDFs and other documents. Ownership remains with you or the relevant rights holder. You confirm that you have the rights and lawful authority necessary to submit the content and permit its intended use.

You grant Reign a non-exclusive, royalty-free permission to host, store, copy, transmit, display and technically process User Content only as reasonably necessary to provide, secure and support the Service, comply with law and carry out authorised instructions. We may allow contracted service providers to perform these functions subject to appropriate restrictions. This permission does not transfer ownership or authorise unrelated advertising or public promotional use of your content.

The permission ends when the relevant content is deleted from our systems, except to the limited extent needed for lawful retention, backup expiry or handling a legal claim as described in the Privacy Policy. Other recipients may have obtained copies while authorised to access them and remain responsible for their own handling of those copies.

Keep uploads relevant and accurate to the best of your knowledge. Minimise personal information about others, especially children and people involved in health or safety incidents. Do not include passwords, payment credentials or unnecessary identity or medical documents. New uploads use private storage with access checks and temporary download links. Earlier public copies remain subject to the unresolved removal limitation explained in the Privacy Policy. Removing an app record does not by itself prove that its stored file has been erased. Contact support about file exposure or removal.

7. Incident reporting and announcements

Incident reports help authorised community personnel assess and manage matters. Submission does not guarantee that a report has been reviewed, verified or resolved within a particular period. New issues are automatically assigned to the building manager and emergency issues automatically receive an In Progress status. These automatic changes do not confirm human review or an emergency response. The Community Organisation determines its response arrangements and must communicate urgent escalation procedures separately.

Distinguish direct observations from assumptions and allegations. Do not present an accusation as an established fact. Correct material errors promptly or ask the authorised community representative to correct them. Reign does not adjudicate disputes merely by hosting a report.

Announcements and uploaded documents are the responsibility of the person or organisation providing them. Check important information with the relevant source. Notifications may be delayed or affected by device settings, connectivity and third-party services; do not rely exclusively on an app notification for time-critical action.

8. Emergency services directory

BodyCorp Beacon is not an emergency dispatch, monitoring or response service. Incident reports and support messages must not be relied upon to summon emergency assistance. If someone is in immediate danger, contact the appropriate emergency service directly using a verified telephone number or other established emergency channel.

Directory entries are provided for convenience. Contact details, availability, coverage and service terms may change. Inclusion does not constitute endorsement, and opening an entry does not mean that Reign or an emergency provider has received your location or incident details. Confirm the information and contact the provider yourself. These statements do not limit liability that cannot lawfully be limited.

9. Privacy and community data

The Privacy Policy at /privacy explains personal information handling and user rights. Each party must meet the privacy obligations that apply to its activities. Community Organisations are responsible for lawful instructions, appropriate notices, access decisions and retention of the community records they control. Reign remains responsible for its own duties as a responsible party or operator, as applicable.

Using the Service does not authorise unlimited collection or disclosure. If you exercise an administrative role, disclose records only to people with a legitimate, authorised need and use an appropriate secure method. Contact us promptly about suspected unauthorised disclosure or access. Any applicable data processing agreement supplements these Terms with the parties' processing responsibilities.

10. Subscriptions charges and cancellation

Any paid subscription, renewal arrangement, taxes and payment terms must be stated in an applicable order form, service agreement or purchase screen before purchase. Merely accepting an invitation to use a community account does not make a Resident personally responsible for the Community Organisation's subscription fees.

We will not introduce a paid commitment or change a fee without the notice and agreement required by the applicable contract and law. Renewal and cancellation arrangements, and any refund entitlement, follow the disclosed subscription terms subject to mandatory consumer rights. These Terms do not impose a universal no-refund rule or waive statutory cooling-off or cancellation rights.

Deleting an individual account and ending a Community Organisation's subscription are separate actions. If you are the contracting subscriber, use the cancellation process in your subscription agreement as well as any account deletion process you require. We will provide reasonable assistance where the distinction is unclear. A payment dispute does not remove statutory privacy rights.

11. Service availability and changes

We will provide the Service with reasonable care and skill, subject to any more specific applicable service agreement and mandatory law. Outages, maintenance, faults, connectivity problems and events outside reasonable control may interrupt access. Continuous or error-free availability is not guaranteed unless expressly agreed.

We may maintain, correct or develop features. For a material reduction in agreed functionality or discontinuation, we will give reasonable notice where practicable and observe applicable contractual and legal rights, including cancellation or refund rights where relevant. Urgent security or legal changes may require immediate action.

Community Organisations should keep appropriate copies of records they are required to retain and plan for service interruptions. This does not relieve Reign of its own security, retention or contractual obligations. Before a subscription ends, contact support in sufficient time to arrange any agreed or legally required export.

12. Intellectual property and third parties

Reign and its licensors retain rights in the Service's software, branding, design and other materials, excluding User Content and third-party materials. While you are authorised to use the Service, we grant you a limited, non-exclusive, non-transferable right to use it for its intended purpose, subject to these Terms.

Do not copy, resell, sublicense or reverse engineer the Service except to the extent permitted by law or written agreement. Do not remove ownership notices or imply endorsement by Reign without permission.

External websites, directory providers, app stores and other third-party services may have their own terms. Reign does not control their independent activities. Those separate terms do not reduce our own obligations to you under applicable law.

13. Content concerns suspension and termination

Report unlawful content, access problems or suspected misuse to the support contact in section 1, identifying the relevant content and reason for concern. Avoid sending unnecessary copies of sensitive records. We may investigate and restrict or remove content or access where reasonably necessary to address a material breach, security risk, unlawful activity, loss of community authorisation or valid legal requirement.

Where practical and appropriate, we will explain the reason and allow an opportunity to correct the issue. Immediate action may be necessary to protect people, data or the Service, or where notice is legally restricted. Contact support to ask for a review of a restriction. Community Organisations remain responsible for reviewing their own role and membership decisions.

You may stop using the Service and request account deletion. We may terminate access for a material breach that is not remedied within a reasonable notified period, or immediately where the seriousness of the matter justifies it. Ending a Community Organisation's subscription may also end associated access, subject to applicable notice and statutory rights.

Termination does not automatically erase every record. Deletion, limited lawful retention, backup expiry and privacy requests are handled as set out in the Privacy Policy. Provisions necessary to resolve existing rights and obligations continue to apply, including accrued payment obligations, content permissions for lawful retention, intellectual property protections and dispute provisions.

14. Account deletion

To request deletion, use the account-deletion control in the app's account settings or visit https://body-beacon-pro.base44.app/account-deletion. You may also contact the privacy email in section 1. Reasonable verification may be required to protect your account. The Privacy Policy explains the current account action, manual requests and retained information. Submitting a request starts administrator handling. Verified requests disable Resident or staff access and revoke app-issued access to their owned private files. This is not itself completed erasure of related records, stored files or platform-authenticated accounts. The removal process and any justified retention must be confirmed before a request is marked complete.

Uninstalling the app, logging out or being removed from a community does not itself delete your account. Deleting your account does not change property ownership, scheme membership, levy obligations or other duties that exist independently of the Service.

15. Responsibility and limits on liability

Each party remains responsible for its own conduct and obligations under applicable law. Reign does not warrant the accuracy of User Content or independent directory listings and is not responsible for making community management decisions or providing emergency assistance. These limitations do not excuse our own breach of a legal or contractual duty.

To the extent lawfully permitted, neither party is liable to the other under these Terms for losses that are too remote to be recoverable under applicable law. Liability is determined with regard to causation, foreseeability and any reasonable steps to limit loss. Any separate limitation in a negotiated business agreement applies only to its parties and only to the extent lawful.

Nothing in these Terms excludes or limits liability for fraud, wilful misconduct, gross negligence, or any liability that applicable law does not allow to be excluded or limited. Nothing removes mandatory rights under the Consumer Protection Act, the Electronic Communications and Transactions Act, POPIA or other applicable law. No provision prevents a person from seeking a statutory remedy or compensation to which they are legally entitled.

16. Complaints and governing law

Please send service or contractual complaints to the contact in section 1 with enough information for us to investigate. We will try to resolve them fairly and within a reasonable period. You may use an available regulator, ombud, tribunal or court without first completing an internal process where the law permits.

These Terms are governed by South African law, subject to any mandatory protections that apply in another jurisdiction. Courts with lawful jurisdiction may hear disputes. These Terms do not require compulsory private arbitration or waive any right to approach a competent regulator, the Community Schemes Ombud Service where applicable, a consumer forum or a court.

17. Updates and general provisions

We may update these Terms to reflect changes in the Service, our arrangements or the law. The public /terms page will show the Last Updated date. We will give reasonable advance notice of material changes where practical and seek renewed acceptance where required. Changes will not retrospectively remove accrued rights. If you disagree with a material change, you may stop using the Service and exercise any applicable cancellation or termination rights.

If a provision is unlawful or unenforceable, it will be limited or severed only as necessary, and the remaining provisions continue where legally possible. A delay in enforcing a right is not a waiver. Any transfer of our agreement must preserve your applicable rights and comply with data protection requirements.

These Terms, together with any applicable service agreement and order form as described in section 3, govern the relevant use of the Service. Mandatory legal duties prevail over inconsistent wording.
